15-Minute Sanity-Check Checklist

Load ID

Every load. Every time. Fifteen minutes. This checklist catches the eight most common load-file failures we've seen in the last five years. It is not a substitute for a full QC pass — it is a first-line trap. If any item fails, stop and escalate before proceeding to review.

Section 1 · Manifest & Count Reconciliation

1.1 · Manifest vs. loaded doc count matches. Vendor Collection Manifest count matches the review-tool loaded-document count, within the expected dedup delta. Note both numbers and the delta.

1.2 · Custodian totals match. Total docs per custodian in the load equals the total per custodian in the vendor manifest. Any custodian with a discrepancy is flagged.

1.3 · Source-code totals match. Per-source counts (M365, LAP, MOB, etc.) reconcile to the manifest.

Section 2 · Delphoria Fields Present

2.1 · DLPUniqueID populated on every row. Run a filter for null / empty on the DLPUniqueID field. Result must be zero.

2.2 · DLPUniqueID is unique. Group-by count on DLPUniqueID; every group has count = 1.

2.3 · DLPUniqueID matches format. Pattern DLP-\d{4}-[A-Z]{2,4}-[A-Z]{2,6}-\d{7}. Any non-matching row is an error.

2.4 · CustodianCode present, matches Custodian list. Every row has a code; every code appears in your matter's Custodian roster.

2.5 · SourceCode present, in the accepted enum. Every row has a code; every code is one of the 13 recognized values.

2.6 · ProtocolVersion populated. Tells you which collection protocol governed. Missing means chain-of-custody metadata is incomplete.

Section 3 · Family Integrity

3.1 · Parent count with attachments = total attachment groups. Sum of documents where BeginAttach = EndAttach = itself gives your parent count. Cross-check against expected family size.

3.2 · No orphan attachments. Every document with a BeginAttach references an existing document. No dangling GroupIDs.

3.3 · Family metadata inheritance sane. Sample five families: does the attachment's Custodian match the parent? Its SourceCode? Its dates within family range?

Section 4 · Text & Native Rendering

4.1 · Native files open. Pick 10 random rows across file types (Word, Excel, PDF, MSG, PNG, video, ZIP). Click Native. All open without error.

4.2 · Extracted text has content. Sample 20 rows. Text field is non-empty for text-bearing files. Zero-byte text on a Word doc = broken extract.

4.3 · Text encoding is UTF-8. Open two non-English documents. Diacritics render correctly (é, ñ, ü, 中, ع).

4.4 · Images render. If images are loaded, pick 10 documents; images display in the viewer without missing-file errors.

Section 5 · Dates & Time-Zone

5.1 · Date fields are ISO 8601 with TZ offset. Sample five dates from different sources. Format matches; timezone present.

5.2 · No epoch-zero dates in production-eligible set. Filter for DateSent = 1970-01-01. Any results should be flagged (or excluded from the responsive-set).

5.3 · No future dates. Filter for DateCreated > today. Any results indicate metadata corruption or clock issues at collection.

Section 6 · Search & Filter Spot-Checks

6.1 · Custodian filter returns expected volume. Filter to the largest custodian. Count is within 2% of the manifest.

6.2 · Date-range filter returns expected volume. Filter to the primary responsive date range. Count is plausible against your scoping estimates.

6.3 · A known responsive term returns hits. Search a term you expect to hit (client name, project code). Any zero-hit result on a term you were sure would hit is a full-text-indexing problem.

6.4 · Threading is functional. Open one email. Click "Related Documents". Family members appear.

Section 7 · Post-Check

7.1 · All checkboxes above marked, or any failure documented in Section 8.

7.2 · Sign-off delivered to Client + Delphoria advisor. Send this sheet, completed, via email. Delta from vendor manifest, if any, noted in body.

Section 8 · Failures & Notes

Document any failures here. Include the failure item, sample DLPUniqueIDs, and the escalation path.
